We are looking for someone to provide administrative support to ensure efficient operation of the office. The description below entails the duties and responsibilities expected of an administrative assistant with The Pros Contracting. These duties include but are not limited to:

Daily Duties

  • Answer and direct phone calls.

  • Organize and schedule appointments, providing details (address, client information, etc.) in calendar invites

  • Write and distribute emails, correspondence memos, letters, and forms

  • Assist in the preparation of regularly scheduled reports

  • Develop and maintain a filing system

  • Order office and job supplies as instructed

  • Maintain contact lists

  • Act as the point of contact for clients

  • Accompany to consultation if needed

Weekly Duties

  • Update The Pros Contracting Saturday consultations on Friday. If no consultations have been scheduled for Saturday by Friday at 4pm, close the availability on the website.

  • Every Monday, make sure the schedule appointments, jobs, meetings etc lines up for the week. Let someone know if there will be a scheduling conflict

Quarterly Duties (every 3 months)

  • Schedule tax meeting with CPA

  • Keeping up with legal and state fee due dates 

End of Year (starting in November)

  • Collect the W9 information of all subs for the year if still needed

 Requirements 

  • Must be tech savvy, ex) Zoom, Google Meet, Microsoft Excel 

    • Experience with Quickbooks is a plus

  • Open minded and proactive

  • Have a good sense of professionalism

  • Excellent communication skills 

  • Past experience in administrative and organizational work

  • Must have driver’s license and transportation

  • This is a drug and smoking free environment 

Compensation 

  • This is a flexible, part time position with competitive pay 

  • 20+ hours a week, 5 days a week

  • Overtime will be available as job requires it
